Availability

In-depth article on defining operating hours, marking non-working days, and setting booking cutoffs.

Overview

The Availability tab in your Podyx Admin Panel enables you to define your studio’s operating hours, set custom hours for specific days, and block out times for breaks or non-working days. This customization ensures that clients only see bookable times that align with your schedule. This guide explains how to configure your studio's availability settings to maintain an organized booking interface and enhance client satisfaction.

Why Setting Up Availability is Important

Setting up your studio’s availability correctly is essential for smooth operations and clear client communication. With well-defined hours, clients have accurate visibility of open slots, helping prevent scheduling conflicts and ensuring they have realistic expectations for booking times.

Benefits for Your Studio:

  • Professional Client Experience: Clearly defined availability reduces confusion, showing clients only bookable times that match your operating schedule.
  • Operational Efficiency: Control over booking hours ensures your team has adequate time for breaks, clean-ups, or other daily tasks without unexpected interruptions.
  • Enhanced Booking Flexibility: The ability to set specific hours for certain days allows you to accommodate special events, peak seasons, or custom hours without affecting your regular schedule.

Step-by-Step Guide to Setting Up Availability

  1. Log In to Your Account
  2. Navigate to the Availability Tab
    • From the Admin Panel, locate Availability by clicking the down-pointing arrow to expand the menu, then selecting Availability. This tab lets you manage your studio’s weekly and specific-date availability.
  3. Set Weekly Working Hours
    • Use Common Day Settings: Under Common days settings, set default operating hours for each day of the week. For instance, if your studio operates from 9 AM to 6 PM on weekdays, configure those times here to apply consistently.
  4. Block Out Break Times
    • Turn Off Specific Hours: To allocate times for lunch breaks, cleaning, or other non-bookable periods, deselect certain hours within the day. This feature prevents these times from appearing as available on the client booking interface.
  5. Mark Non-Operating Days
    • Toggle Working Days On or Off: If your studio is closed on specific days, such as Sundays, switch off the working day setting for that day to ensure no bookings are shown as available.
  6. Set Custom Hours for Specific Dates
    • Customize Hours for Individual Days: If you need to adjust hours for a particular date (e.g., a public holiday or special event), select that date on the calendar and set custom hours. This allows for temporary changes without affecting your regular weekly schedule.
  7. Save and Publish
    • Click Save and Publish: After configuring your availability settings, click Save and Publish to update changes instantly on the booking interface. This ensures clients see only the hours you’ve specified as available.

Tips for Optimizing Availability Settings

  • Regularly Update for Special Dates: Adjust availability for holidays, events, or seasonal hours in advance to keep your calendar current and minimize client confusion.
  • Block Consistent Breaks: Use the hour-blocking feature to prevent bookings during breaks, maintaining a smooth workflow for your team.
  • Test Your Calendar: Preview the booking interface to ensure hours display accurately, especially after making changes to the default weekly hours or specific-date settings.

Importance of Accurate Availability Settings

By setting up your availability accurately, you ensure that clients are only presented with realistic booking options. This helps manage expectations, reduce booking conflicts, and improve overall studio management.

  1. Improved Client Satisfaction: Clients see only bookable times, reducing the need for rescheduling and creating a positive booking experience.
  2. Reduced Administrative Effort: Setting clear availability minimizes last-minute changes, helping your team stay organized and focused.
  3. Efficient Resource Allocation: Custom hours for specific dates allow for better planning, helping you accommodate special days or high-demand periods without disrupting regular operations.

The Availability tab provides essential tools to keep your studio’s schedule organized and up-to-date.

Set your availability to match your studio’s unique schedule, enhancing the booking experience for clients and supporting operational consistency within your team.
